No consultancy dreamt this up after reading about frontline work. I built it while doing the job every day.
Videns assistent started with a problem from my own working day.
As a porter in the operating theatres at one of Denmark's largest hospitals, I know how much it matters to find the right guidance when there's a job to be done. I also know how hard that can be in the middle of a busy shift.
The procedures exist. But when a theatre needs getting ready and you're in the thick of it, there's rarely time to wade through long documents in the hospital's document system or track down a binder in the office. Usually you just need a short, clear answer so you can get on with it.
So you ask a colleague, or do it the way you were shown. That's understandable, but it means what people know ends up depending on who happens to be on shift.
That's where Videns assistent came from.
I wanted to make an organisation's knowledge easier to use in practice. With Videns assistent, staff can ask a question in plain language and get an answer based on the organisation's own approved documents. Every answer links to its source, so you can open the procedure behind it and see exactly where it came from. And if the documents don't have the answer, the system says so plainly.
It's designed around life on the job: a phone in the middle of a shift, a shared computer on the ward, and those moments when you need help there and then.
Staff questions can also show managers where knowledge is missing.
That's why Videns assistent includes a view for managers that makes it easy to spot the questions the documentation can't answer. It gives them something concrete to work from: which procedures are missing, unclear or need more detail, and where more training might be needed.
So the system helps staff with the job in front of them, and helps managers improve the knowledge everyone relies on.
What started as an idea during a shift has since grown into a platform that several organisations can use. The aim hasn't changed: to make important knowledge available at the moment it's needed.
